The drawing is in a shared folder. The certificate is in an email. The photo of the defect is on somebody’s phone. Individually that is fine; collectively it is why simple questions take an afternoon.
In Capitán, files attach to the record they belong to — a work order, an asset, a project, an employee, a customer. Context travels with the data, so whoever opens the record has what they need without knowing where anyone chose to file it.
Evidence, not just storage
Because attachments hang off the record rather than a folder tree, they double as evidence. The photo taken at handover, the signed inspection, the revised specification and the certificate that was valid on the day are all attached to the thing they describe — which is exactly what an audit, a warranty claim or a dispute asks for.
Nothing needs to be filed twice, and nothing depends on one person’s folder naming convention surviving their departure.
A document is only useful if the person doing the work can find it without asking.
